How To Work with Team System using MSProject - Export to MSProject

This post is the second post out of five that builds the MSProject Guide. See the first post here

On this post I will talk about the export to MSProject options that are available in the Team System.
When exporting to MSProject pay attention to the fact that not all the information is being transferred, in the first post of this guide I said that it is going to be a little different than working with the Excel, in order to manage your project with MSProject the export will take place at the beginning of the project as best practice and from this point it will be managed using the Publish and Refresh functions explained on my next post of this guide.

There are two options in the Team System to export work items to MSProject:

  • Export from a query.
  • Export from a query result.

In order to export from a query do the following:

Step 1: Create a query in the Team System project. (Creating a query is out of the scope of this guide)

Step 2: Right click the Query you have just created and choose “Open in Microsoft Project” option.

In order to export from a query results do the following:

Step 1: Create a query in the Team System project. (Creating a query is out of the scope of this guide)

Step 2: Run the query

Step 3: From the query results choose the work items you like to export, you can use the Shift and Ctrl buttons from the keyboard.

Step 4: Click the MSProject icon to export or right click and choose the “Open Selection in Microsoft Project” option.

The result of these actions will be an MSProject project with the tasks listed.

Good point about not all information being transferred.  Project retains the scheduling data like the utilization, calendar data, and in VSTS 2080 the hierarchy and successor relationships.

One more note for your readers is that TFS will only bring in work item from one team project even if the query supports multiple team projects.
